Privacy Policy

PolySurface Marketing (“PolySurface,” “we,” “us,” or “our”) is a marketing agency for floor-coating contractors based in Minneapolis, MN. This Privacy Policy applies to polysurfacemarketing.com and our lead-capture form, wherever that form is embedded.

We collect only what you give us and a small amount of technical context needed to process and protect your submission. Specifically:

• Information you provide on the form:your name, company name, email address, and phone number (required); your website URL or an indication that you don't have one yet (optional); an optional description of your project; and your selections from our drop-down questions (such as your service area, project type, and timeline).
• Your consent record: the exact consent language you agreed to, plus the date and time you agreed, so we have an accurate record of your permission to contact you.
• Marketing attribution: how you reached the form — for example, UTM campaign tags, the referring website, the page you submitted from, and any named link or placement you used. This helps us understand which of our efforts are working.
• Limited technical data: we derive a one-way hashed value from your IP address (we do not store your raw IP) to enforce rate limits and prevent spam and abuse.

We do not knowingly collect Social Security numbers, payment-card numbers, or other sensitive financial data through this website.

• To respond to your inquiry, contact you about your project, and provide our marketing services.
• To send you a confirmation of your submission and a link to schedule a strategy call.
• To protect our site and other users by detecting and preventing spam, fraud, and abuse.
• To understand which marketing channels bring us inquiries so we can improve.
• To meet our legal, tax, and recordkeeping obligations.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

When you submit our form you check a box agreeing to be contacted. By doing so, you give express written consent for PolySurface Marketing to contact you by phone call, text/SMS message, and email at the number and address you provide, including by automated means, about your inquiry and our services. Consent is not a condition of any purchase. Message and data rates may apply. You can opt out at any time — reply STOP to a text, tell us to stop calling, or use the unsubscribe option in our emails — and we will honor it.

We rely on a small set of trusted vendors to run our website and process your submission. They may handle your information only to provide their service to us:

• Supabase — secure database and storage for your submission (the system of record).
• Resend — delivery of the confirmation email to you and the notification email to us.
• Cloudflare Turnstile — bot/abuse protection on the form.
• Vercel — website hosting and server logs.
• Google Analytics & Meta Pixel— only if and when enabled; see “Cookies & analytics” below.

Our site uses only the cookies needed to function. We may use Google Analytics 4 and the Meta (Facebook) Pixel to measure site traffic and ad performance. These are off by defaultand load nothing unless we have configured them; when active, they may set cookies and collect usage data subject to Google's and Meta's own privacy policies. You can block cookies in your browser and use browser or platform opt-outs at any time.

Access to submitted leads is restricted to authorized team members through an invite-only, passwordless login, and is enforced at the database level. Network traffic is encrypted in transit (HTTPS). We store a hashed value of your IP rather than the raw address. No system is perfectly secure, but we take reasonable measures to safeguard your information.

We retain lead information indefinitely so we can maintain an accurate business and consent record and serve you over the lifetime of our relationship. You may ask us to delete your information at any time (see your rights below), and we will delete it on request unless we are required to keep it for legal or tax reasons.

You can, at any time:

• Request a copy of the personal information we hold about you.
• Ask us to correct inaccurate information.
• Ask us to delete your information (we honor manual delete-on-request).
• Withdraw your consent to be contacted, or opt out of calls, texts, or emails.

Our website and services are intended for businesses and adults. We do not knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

We may update this policy from time to time. When we do, we will revise the “Effective date” above. Material changes will be reflected on this page.
